Privacy Policy

Last updated: 8 November 2026

Teachvella is a planning tool for UK secondary teachers. This policy explains, in plain English, what information it handles and why. It describes how the service works today.

Who we are

Teachvella is operated by Scott Ewart, an individual trading as Teachvella. For the information described below, Scott Ewart decides how and why it is used (the "controller").

You can contact us at scottewart@outlook.com.

What we collect

  • Your Whop sign-in details. When you sign in with Whop we receive your Whop user ID, name, username and email address, and a profile picture if Whop shares one. Your user ID is used to keep your saved planning data separate from everyone else’s. At the time of writing, your name, username and email are used to show who is signed in and are not saved in the planning database.
  • Planning data you save, only while you are signed in with an active subscription (or team access): your settings, classes, timetable entries, lesson plans, templates, notes and calendar events. This is stored in a hosted Postgres database.
  • Data kept in your browser. Without a subscription, Teachvella works in your browser only. Anything you enter stays in your browser’s local storage on your device and is never sent to us.
  • Basic hosting and usage logs, and page analytics provided by Whop. We do not use this information to identify individual pupils, and we do not collect pupil information in analytics.
  • Payments are handled by Whop. We do not see or store your card details.

Pupil information (optional)

Pupil information is optional. You do not need it to use Teachvella, and the calendar, timetable, classes and lesson planner work without it.

By default the pupil, seating plan and note screens are a demonstration that uses fictional pupils only. That demonstration data is stored only in your browser and is never sent to our servers or database. Please use invented names with it.

Where pupil information has been enabled for your account, the pupil names, notes, support information and seating plans you choose to enter are saved to your account, so you can use them on your devices. Pupil names, notes and support information are encrypted before they are stored. They are only shown to you when you are signed in. Teachvella’s operators with access to the encryption key and database could technically access them; access is limited to the person who runs Teachvella.

Information about special educational needs (SEND), medical conditions, safeguarding or behaviour can be especially sensitive and may be special category data under data protection law. Only enter what you need for your teaching, and only if you have appropriate authority from your school or organisation. Teachvella does not check that authority and this is not legal advice. Teachvella has not had independent security testing.

You can export or delete all of your pupil information at any time from the pupil screens in the app. Exporting or deleting there does not replace any school’s own record-keeping arrangements. Pupil information is not used for AI processing or analytics, and is not shared with anyone else by us except the service providers needed to run Teachvella (listed below).

Why we use information, and our legal bases

  • To provide the service you asked for, such as signing you in and saving your plans (contract).
  • To keep the service secure and working, and to prevent misuse (legitimate interests).
  • To meet legal obligations, such as tax and accounting records (legal obligation).

We do not sell your information and we do not use it for advertising.

How long we keep it

Planning data is kept while your account is active and is deleted if you ask us to delete it. We do not keep your planning data for longer than we need it to run the service. Pupil information, where enabled, is kept until you delete it or close your account; when an account is closed we will delete its pupil information within a reasonable time, although records controlled by a school may need the school’s instruction. Data in your browser stays there until you clear it.

Your rights

Under UK data protection law you have the right to ask for access to your information, to have it corrected or erased, to restrict or object to how it is used, and to receive it in a portable form. You can also complain to the Information Commissioner’s Office (ICO) at ico.org.uk. To use any of these rights, contact us using the details above.

Who handles information for us

  • Whop, for sign-in, payments and hosting.
  • Neon, a managed Postgres database provider, which stores your saved planning data. Our database is hosted in AWS Europe West 2 (London).

We do not share your information with anyone else except where the law requires it.

International transfers

Our providers may process information outside the UK. Our database is in London. Where a provider processes information elsewhere, it does so under the transfer safeguards that provider offers.

Cookies and local storage

  • Sign-in session cookies, set when you sign in with Whop so we know who you are. They are needed for the service to work.
  • Your browser’s local storage, used to keep your planning data when you are not saving to an account, and fictional demonstration pupil data on your device.
  • We do not use advertising cookies. We only use the cookies needed to keep you signed in. Our hosting provider may add basic page-view analytics.

Security

Connections to Teachvella are encrypted (HTTPS). Sign-in cookies are marked HttpOnly and Secure. On our servers, every request to read or save planning data is checked against your signed-in Whop account, and each saved record is tied to your user ID and only returned to you. Saving to your account also requires an active subscription or team access, which is checked on the server.

Teachvella has not had independent security testing. No online service can promise perfect security.

Changes to this policy

We may update this policy as the service changes. We will update the date on this page and, for significant changes, tell signed-in users.
